Using Read-Only Form Questions

You can designate any form question as Read Only, allowing customers to view the answer without being able to modify it.


Getting Started

There are no global system settings required to enable Read Only questions.


How to Mark a Question as Read Only

  1. Log in to the Administrative Console.

  2. Navigate to Settings > Assignments > Forms.

  3. Either:

    • Click Edit Questions on an existing form, or

    • Click Add a New Form to create one from scratch.

  1. In the Edit Question screen, you'll see a Read Only checkbox.

  2. Select the checkbox and click Save.


Answering Read Only Questions

Only Admin users can provide answers to Read Only questions. These can be populated using:

  • Impersonation

  • Edit Item

  • Edit Account

  • Other admin-level actions

Note: While non-admin users (such as Staff or Coordinators) cannot answer Read Only questions directly, they can do so via Roster upload if permissions allow them to upload responses to custom form questions.


Customer Experience

If a Read Only question is unanswered, customers will see the field but won’t be able to interact with it.

Once an admin provides an answer, it will be displayed to the customer, but still not editable.

Additional Notes

  • For list-type questions, customers will see the value(s) selected. Be sure the selected values are clear and appropriate.

  • The Read Only setting can be applied to any custom question on any form type.

  • System-required fields such as Username, Email, First Name, and Last Name on the Account form cannot be marked as Read Only.
